Portfolio Operations Analyst

Job Summary:

The Portfolio Operations Analyst is responsible for security transactions capture, processing, pricing, corporate actions and settlement, client and counterparty reconciliation, related problem resolution with trading counterparties for a group of complex investment funds, on behalf of a base of challenging institutional clients. 

 
General Responsibilities

  • Transaction input and cash processing in the Portfolio Management System
  • Records corporate actions and dividend payments as required
  • Prices and values portfolio(s)
  • Reconciliations between counterparties and client as needed
  • Liaises with client and prime brokers to resolve trade breaks
  • Produces various internal/external reports relating to trading and investment performance on a timely and accurate basis
  • Monitors, maintains and meets the tight reporting deadlines and demanding obligations of our clients
  • Involved in ongoing development of Portfolio Management System

Job Qualifications

  • A university graduate with a professional accounting qualification (CA, CPA, CGA, CMA or equivalent)
  • At least 1 year of experience working in a similar role or combined role working with complex securities and derivative products

Technical Requirements

  • Basic working knowledge of all Windows applications
  • Excel – Intermediate
  • Experience with portfolio management and analytics systems would be an asset

Job Summary:

The Senior Associate – Investor Services will be responsible for the daily client servicing, recording and review of complex securities trading while meeting the very tight reporting deadlines and demanding obligations of Harmonic clients.  Responsibilities include cash management, review/execution of bank, custody and prime broker operating account documentation and responding to client requests for information. 

Essential Functions:

General Responsibilities

  • Work independently on all aspects of investor services for a large number of hedge fund accounts with a high volume of transactions and inquiries
  • Respond to requests and inquiries from portfolio managers and investors
  • Perform Anti-Money laundering (AML) checks whilst displaying a comprehensive knowledge of the established practices, processes and procedures
  • Compliance with documentation standards as they relate to investor qualification criteria under U.S. and other jurisdictional requirements (FATCA, OFAC, AIFMD etc) and client constitutive documents
  • Recording and review of compliance documentation for regulatory, anti-money laundering and know-your-customer standards
  • Review investors eligibility to invest in specific funds
  • Manage relationships with new and existing investors
  • Review incoming subscription funds, notify Fund Accountant of subscription money sent (received) and any pending monies
  • Maintenance of member registers including responsibility for data integrity
  • Review and file original documents received
  • Update contact details and distribution lists for registered shareholders
  • Check investor services inbox and fax queue and respond to queries
  • Support client phone lines and e-mail communication
  • Recording transaction IDs in SharePoint system to incoming faxed documents
  • Attach all documents related to transactions in FM3
  • Set-up wires for redemption payments

Reconciling Responsibilities

  • Log all incoming subscription, redemption & transfer transactions in FM3
  • Attach downloaded swift reports to transaction entries in FM3
  • Add review to pending subscriptions, redemptions and transfers in FM3
  • Follow up on any AML needed for subscription, redemption or transfer orders
  • Submit transfer requests to client for approval

Managerial Responsibilities

  • Training of Investor Services personnel in all aspects of FM3 and compliance
  • Conduct performance reviews for direct reports

Other Responsibilities

  • Download client contact information reports from PI Web and update information in our system on a regular basis
  • Monitor PI web for any transfers and update FM3
  • Other job functions as required

Job Qualifications

  • A college or university graduate
  • 2+ years of experience working in a similar role or combined role working with complex securities and derivative products

Technical Requirements

  • Solid working knowledge of all Windows applications
  • Excel – advanced
  • Experience with Qlickview would be an asset
  • Basic understanding of Harmonic FM3 software preferred

The Senior Fund Accountant will be responsible for the Fund Administration of complex investment funds including portfolio valuation and Net Asset Value (“NAV”) calculation; assisting with the preparation of financial statements; liaising with investors and investment managers as well as assisting with systems development and other ad hoc projects as required.  In addition, other responsibilities will include client relationship management; new business integration and meeting the very tight reporting deadlines and demanding obligations of our clients.

 
Essential Functions

NAV’s

  • Review and understand the fund’s offering memorandum and verify that offering memorandum agrees to fund set up and ensure ongoing operations adhere to offering memorandum details
  • Liaise with investment managers, prime brokers and custodians in relation to trading activity as required for transaction processing and NAV preparation
  • Calculate the NAV for a portfolio of complex investment funds on either a weekly, bi-weekly, monthly, and/or quarterly basis as specified by the client and as outlined in the administration agreement, which includes, among other things:
  • Track all cash items whether portfolio related, capital transactions or from non-portfolio and other income and expense items
  • Perform three-way reconciliation of cash and assets/liabilities to the investment managers and custodians (frequency depending on trading activity of the fund
  • Obtain independent third-party pricing support where needed (i.e. from Bloomberg)
  • Review and validate the partner/shareholder allocation calculations, including management and incentive fee calculations and the allocation of feeder specific income and expenses
  • Calculate and send out Estimated and Final NAV as required

Client Relationship Management

  • Liaise with clients, investors, investment managers and other stakeholders as needed

Projects

  • Participate in special projects
